Case Study – Pharmaceutical Meeting

A Pharmaceutical meeting for 220 attendees, taking place at a hotel in central London. The event took place over 2 days.

To advise healthcare professionals with regards to patient care, including non-clinical and clinical sessions. A main plenary session and a variety of interactive workshops and presentations, led by well-renowned speakers in this specialism.

Our Role:
C2events were responsible for the venue source / site inspection and contracting of the hotel, which provided both the accommodation and the meeting space. We also managed the logistics for all delegates and Faculty, which included arranging individual travel and accommodation based on their specific requirements.
We also provided onsite support and meeting materials to each delegate, and were available at the Hospitality Desk for any queries or concerns throughout the 2 day meeting. We also coordinated the breakout sessions throughout both days and ensured the programme ran to time throughout the day.

The meeting was a huge success, and the client and company colleagues were very impressed with the smooth running of the meeting.

The number of participants was originally stated as 130, however due to its immense popularity within its specialism, we had to adjust the meeting space and the hotel to accommodate an extra 100 people! The final numbers reached 220 people, which included an extra 100 hotel rooms and extra travel bookings to be made.
Out of 200 people, we were very happy that only 2 delegates contacted the team in the morning of the event to reconfirm their travel details.
We received some great feedback from both the client and the delegates, and were awarded with very high scores for our logistics and delegate communication before and during the meeting.
