Challenge:
To support a global healthcare client, deliver a comprehensive education programme to HCPs through a series of investigator meetings across the US, Asia, and Europe; Providing full management of four consecutive high-profile events across the months of April, May, and June.
Solution:
Our team executed an extensive venue search, evaluating multiple options across three global cities - Chicago, Kuala Lumpur, and Copenhagen - carefully assessing each location based on criteria such as logistical flexibility, favourable contract negotiations, flight accessibility, and overall suitability for the event objectives.
The event delivery featured a programme consisting of:
• 1.5-day Investigator Meeting.
• 1-day Monitor Meeting.
• A Global Expert Panel Meeting.
• A Steering Committee Meeting.
With the venues in place, we designed and implemented a seamless attendee experience. From the initial registration process, through to on-site event delivery, and delegate management, every touchpoint was thoughtful considered.
We designed and developed a bespoke attendee app to enhance engagement, as well as streamline and improve the communication process through real-time notifications, and delivery of essential information. At all times, we ensured the technology enabled all delegates to remain fully informed and engaged throughout.
Result(s):
C2events expertly handled the full spectrum of event logistics, including venue contracting, management of attrition and cancellation clauses, financial oversight, and supplier coordination.
One of the standout aspects of this project was our meticulous coordination of travel arrangements for 920 attendees, facilitated by over 18,000 travel-related emails.
Our dedicated on-site C2events team guaranteed a flawless execution of each event, overseeing arrivals and departures, hotel coordination, all off-site dinners, and technical support. A seamless programme delivery; from attendee registration through to managing all expense reimbursements with precision and pace.
