Strategic meetings management

The incidence of strategic meetings management programmes being undertaken by organisations has increased significantly over recent years.

To be able to advise and assist on SMM activity it is a significant advantage to have experience and understanding of every part of an event. We are involved in every step of the event management process from sourcing venues, managing travel, dealing with DMCs, hotel groups and transfer companies in various markets throughout the world. We conduct site inspections, assess Health & Safety issues, reviewing contracts, manage budgets and conduct financial reconciliations. We review suppliers, we ensure best practice is adopted throughout the supply chain and what’s more we have been doing this for several years.

This means we are ideally placed to work with clients supporting their SMM initiatives whether it be an entire programme or working with them on a selected area. Either way we are able to help streamline, processes, procedures and suppliers to help ensure a greater efficiency in the management of their events, with cost savings and the wellbeing of their delegates being paramount.

Finally, for us it does not stop there, we think it is important to review the ROI process from the perspective of the setting of objectives to event evaluation. Arriving at a well thought through briefing document is key to ensuring a high standard of event that delivers against the organisation’s objectives and ensures that at minimum key criteria are met. Target scores can be set from an evaluation point of view to reinforce this. The briefing document can also be used to determine whether or not an event should take place. As an element of this part of the programme, for large international organisations, a ‘manual’ can be produced that is aimed at ensuring a high level of consistency of delegate and brand experience across all events. This should be backed up by training, videos and on site experience.
